How to Set Up B2B Cold Calling in Germany: Step-by-Step

From zero to first qualified meeting in 2 weeks. The exact process we run for every new client — no fluff.

Who this is for: B2B companies that want to run structured outbound calling in Germany, Austria or Switzerland — whether you're doing it internally or evaluating what good looks like before outsourcing.
1

Define your ICP — sharper than you think

Your Ideal Customer Profile (ICP) is the most important input into your Kaltakquise campaign. A vague ICP ("medium-sized B2B companies in Germany") kills conversion rates. A precise ICP drives them.

Define it across five dimensions:

Industry: Not "manufacturing" — "B2B industrial equipment suppliers with 50–500 employees in DACH"
Company size: Headcount + revenue range. Be specific — a 50-person vs. 500-person company needs a different conversation.
Decision-maker title: Who signs the contract? Who influences it? Map both.
Tech stack / signals: Does your product replace or integrate with something they already use? Use that as a targeting signal.
Growth signal: Recent hiring, funding, office expansion — these increase propensity to buy.
Pro tip: Look at your 5 best existing customers and reverse-engineer what they have in common. That's your starting ICP.
2

Build your target list with the right tools

For DACH markets, we recommend this tool stack for list building:

Apollo.io Best coverage for DACH B2B contacts. Filter by industry, headcount, location, technology. Export directly to HubSpot.
LinkedIn Sales Nav Best for finding exact decision-maker titles and mapping org structures. Use with Apollo for cross-referencing.
Clay Enrich contact data with tech stack, hiring signals, news mentions. Automate personalization at scale.

Aim for at least 500 contacts per segment before starting. This gives you enough data to see patterns after 4–6 weeks of calling. Less than 500 and your data is too thin to draw conclusions.

3

Write a call script that actually works in DACH

The biggest mistake: scripts that sound like a pitch. German-speaking decision-makers hang up on pitches. They engage with relevance.

Structure of a high-converting DACH cold call:

OPENER (5–8 sec)

"Guten Tag, [Name]. Ich bin [Ihr Name] von [Firma]. Ich rufe an, weil [spezifischer Grund, der mit dem Unternehmen dieser Person zusammenhängt]."

VALUE (1 sentence)

One concrete outcome — not a feature list. "Wir haben [ähnlichem Unternehmen] geholfen, [Ergebnis] zu erreichen."

QUALIFYING QUESTION

"Ist das Thema [Problem] bei Ihnen aktuell relevant?" — gets them talking, not defending.

ASK FOR 20 MIN

"Wäre ein 20-minütiges Gespräch nächste Woche sinnvoll?" — specific time ask, not an open-ended "can we talk?"

Key insight: Prepare objection handlers for the top 5 objections before your first call day. The most common in DACH: "Kein Interesse", "Schicken Sie Unterlagen", "Kein Budget", "Falscher Zeitpunkt", "Wir haben schon einen Anbieter".
4

Set up your CRM before you make the first call

Running Kaltakquise without a CRM is throwing money away. You need to track: who you called, what was said, what the outcome was, and when to follow up. HubSpot Free is enough to start.

Minimum CRM setup before day one:

  • Contact properties: company size, industry, ICP score, call outcome, last contact date
  • Deal stages: Prospected → Called → Interested → Meeting Booked → Qualified
  • Task queue: next follow-up date for every contact in progress
  • Call logging: either manual note or connected dialer (Aircall, JustCall, Cloudtalk)
  • Weekly reporting view: calls made, contacts reached, meetings booked, call-to-meeting rate
5

Start calling — and review every week

Volume is everything in DACH outbound. The benchmark: 50+ calls per day minimum to generate statistically meaningful data within 4 weeks. Less than that and you'll spend 3 months learning what should take 3 weeks.

The weekly review rhythm:

Monday: Review last week's call-to-meeting rate by segment. Which industry or title converted best?
Wednesday: Listen to 5–10 call recordings. What objection is coming up most? What's working in the opener?
Friday: Update the script based on what you heard. Ship the new version Monday. Iterate fast.
Benchmark: In DACH B2B, a well-run campaign achieves 6–14% call-to-meeting rate depending on industry. If you're below 4% after week 6, the ICP or script needs to change — not just the volume.

The full checklist: before your first call day

Contact data verified and enriched
Call script written and reviewed
Top 5 objections handled in script
CRM configured with deal stages
Call logging connected
Weekly reporting view set up
Dialer ready (or phone + manual logging)
Follow-up e-mail template written
